Project Coordinator

 

THE OPPORTUNITY

Our client is looking for someone to work closely with other Project Managers, Senior Project Managers, Business Leads and other internal departments to ensure the smooth day-to-day administration and organization of the client’s brands or services. Client involvement at this level is minimal except when related to the specific assigned responsibilities.

ROLE RESPONSIBILITIES

  • Support the day-to-day activity on small- to medium-sized projects, opening dockets, scheduling and attending meetings, developing contact reports, keeping files organized on the server, developing traffic sheets, creating estimates, and any other tasks required from time to time during a project lifecycle

  • Create workbacks and manage financials of small projects

  • Maintain an updated list of job dockets and ensures their proper use among appropriate team members

  • Work with Finance department and BLs/PMs to ensure proper management of dockets, estimates and billing

  • Prepare and distributes monthly BCRs for all client brands/services

  • Update and distributes regular status reports

  • Update historical creative and competitive reels as needed

  • Monitor competitor market activity and informs Managers when new competitive ads are run

  • Provide proofreading support

  • Provide presentation/deck-building support as required to Project Managers, Business Leads, and Creatives

Skills

  • Communication: Speak, listen and write in a clear, thorough and concise manner using appropriate and effective communication tools and techniques.

  • Organization/Planning: Set priorities, develop schedules, monitor progress towards goals, and track details/data/information/activities.

  • Problem Solving: Assess problem situations to identify causes, gather and review relevant information, generate possible solutions, and make recommendations to the team.

WHO YOU ARE

  • A team player, working cooperatively and effectively with others to set goals, resolve problems, and make timely decisions

  • Appropriate and applicable advertising agency experience (0-2 years)

  • Strong attention to detail

  • Comfortable working in a fast-paced creative-led environment both alone and as part of a team

  • Eagerness to learn

  • Bachelor’s degree recommended

  • Proofreading an asset
