Head of Project Management
Current Situation
We’re looking for a Head of Project Management who is ready to take The Agency’s operations to the next level. As a creative presentation design company, Project Management and Operations are the backbone of their business. This newly created role comes at an exciting time as The Agency is expanding their service and product offerings and needs to shift project management duties away from designers and into the hands of a resourcing expert. The right candidate will create best-in-class processes and solutions from the ground up that optimize and drive efficiencies and resources throughout the organization.
As the Head of Project Management, you are a senior project management leader ready to inject your expertise into this high growth creative Startup. You will be responsible for creating and implementing best practices and new project management and resourcing processes across the agency, while working to recruit, grow, and train an ideal team of Project Management professionals. The ideal candidate is passionate about design, leading PM teams and building efficient or organized project management departments. A seasoned strategic business and project delivery leader, a data-driven decision maker with a strong attention to detail.
The agency operates at a fast pace, and they need someone that has project delivery and resource management agency experience who can keep up with timely client demands and ensure resources are optimized and utilized to their full potential. The team steadily works on between 50-100 projects concurrently often with competing timelines as well as sporadic day-of turnarounds that need to be resourced. The successful candidate will be able to prioritize and build solid workflows and processes to ensure the team doesn’t miss a beat.
JOB REQUIREMENTS & EXPECTATIONS
Work directly with the Managing Director to grow, develop, and scale Project Management and Operations processes and infrastructure from the ground up
Develop Project Management strategies and best practices, communicating with Project Managers to support implementation across the agency
Lead and guide Project Managers to understand resource availability and plan resources effectively for higher-level engagements and events
Work closely with Production and Accounts teams to develop project scopes and timelines
Work with reporting team to develop robust reporting and dashboards to communicate project status, spend, and other relevant metrics; using these metrics to better understand seasonality and forecasting

Strong presentation skills
What You Bring:
5+ Years of experience working at a senior level within a design agency, advertising agency, marketing firm, or equivalent experience
Certified Scrum Master, PMP Certification, or other equivalent certifications
Familiarity with ClickUp or similar PM tool is a must
Proficiency with Microsoft Excel, Google Sheets, PowerBI, Tableau, or other related data visualization software
Familiarity with the capabilities of Microsoft PowerPoint and other creative applications and software is an asset (Adobe Creative Suite - Photoshop, Illustrator, After Effects, etc.)

Must Have:
Project Management Expert: extensive experience in leading project management and operations with the ability to create best-in-class workflows and processes.
Leadership and People Management: you are a natural leader with experience building and training teams while acting as mentor to support team growth and development.
Resource Management: efficiently optimize internal resources and be able to quickly adapt and shift work based on client needs and timelines.
Technical Proficiencies: familiarity with Project Management program(s) (ClickUp) as well as data visualization software (preferably Power BI).
Entrepreneurial: a self-starter who can create project management and operations processes, strategies, and best practices from the ground up.
Analytics/Reporting: ability to analyze metrics to forecast for future and seasonal workloads. Leverage data to inform decision making and optimize processes.
